Monthly Board of Trustees Meeting

November 16, 2017

Present: Carolyn Bradstreet, Deb Nagle, Sandy Goehle, Courtney Marr, Mike Braell, Shawn Williams, Patricia Baynes-Director, Kathy Wooden-Treasurer

Meeting Minutes:

Upon a motion duly made and seconded, the meeting minutes of October 19, 2017 were unanimously approved.

Director's Report:

Upon a motion duly made and seconded, the Director's report for October, 2017 was unanimously approved.

Treasurer's Report:

Upon a motion duly made and seconded, the October, 2017 Treasurer's report was unanimously approved, including abstract #11, vouchers 2017-235 - 2017-254. Patricia also reported on an anticipated increase in the Rochester Area Community Foundation endowment, to be reflected in PCL quarterly statements.

Public Comment:

There was no public comment.

Committees:

Grants: The NYS Library Construction Grant is pending, with nothing new to report.

Building and Grounds:

1.Patricia reported receiving an estimate from Potter Heating and Cooling for labor and installation of an air conditioning unit for the first floor. Repairing the current malfunctioning unit would be temporary and expensive. Replacement would fit with efforts at moving toward future sustainability.

2.Patricia reported an LED light in the rear parking lot is out. A replacement has been ordered, help with the repair will be sought when it is received.

3.Carolyn reported that the previously approved tree trimming by George Newsome’s Tree Care had not yet been done and that it may not be done until sometime in December.

4.Carolyn suggested advertising for a volunteer to do routine maintenance in the next PCL newsletter.

5.Carolyn discussed the need for resurfacing in the back parking lot, especially over the areas where water line work was done. Advice will be sought from Champion Asphalt, who has previously done work for PCL.

6.An offer was received to repoint the bricks on the Library facade for just the cost of the necessary mortar. Carolyn will check for more details.

Items for Discussion/Resolution:

  • There will be another NYLA webinar, “An introduction to Library Sustainability” on Nov. 17, 11:00-12:00. Carolyn has participated and found this to be informative. More information on registration is available on the NYLA website. Carolyn will check to see if this could be recorded for those interested but not available during the day.

  • Patricia has almost completed the community leader interviews.

  • Patricia, Carolyn, Mike and Sandy attended a Trustee/Director Workshop at PLS and reported many interesting ideas for further discussion.

  • Several names were suggested as possible replacement for the open PCL Trustee position. Interest of the individuals will be pursued.

  • Extensive reports were received from PLS Ron Kirsop. After taking time to review and discuss the information, they will be used by the Board to start writing future goals.

  • A motion was made, seconded and unanimously approved to allow Kathy to file and submit the annual Tax Cap form for 2017. Kathy then presented a 2018 Budget proposal for PCL. After discussion, a motion was made, seconded and unanimously approved to accept the 2018 Budget proposal.

  • Patricia reported on the Western NY Landmark Society Award of Merit received by PCL for the refurbishment and renovation of the historic Garlock Office Building currently housing the PCL. Carolyn, Patricia, Jennifer, Mike and Sandy attended a ceremony and reception held at Rochester City Hall, where Patricia proudly accepted the award.

Upcoming Events:

Carolyn outlined some upcoming events at PCL, including the next Friends Book Review luncheon on Dec. 11, featuring Cynthia Kukuvka reviewing Endurance by Scott Kelly, Saturday Studio, Dec. 2 with Alan Stewart continuing his focus on watercolor pencils, Defensive Driving on Nov. 28 and 30th. Call the Library for registration and further details. Don’t forget Small Business Saturday, with the Library participating with a drawing of those who’ve patronized local businesses. And, thanks to a donation to Kids Read Free, beginning in Jan. 2018, children and teens will no longer be charged overdue fines.

Round Table Discussions:

It was suggested that the Board host a Christmas get together before the Dec. 21 meeting and invite PCL staff to share in the holiday spirit. The idea was unanimously approved.
